Destination Weddings Blog

I recently read a fabulous informative blog on what to pack and a check list for travelling bride to be by Mary McGrath.

Mary talks about essential items that brides will need and the shipping costs involved when providing your wedding party with welcome bags.  

I added a comment to Mary’s blog to assist future brides when it comes to travelling with their engagement rings. As an experienced wedding travel planner, this is what I sent to Mary: 

What a fabulous blog with some fantastic ideas for travelling brides to be. I am also in the business of planning international weddings from Australia and I thought I might add a comment for your clients to learn from an experience one of my recent brides had.

Of course our brides want to wear their engagement rings during their wedding trip however please be careful. My client lost her engagement ring while swimming in the ocean one evening prior to her wedding, this obviously had an impact on the enjoyment of rest of the week as the ring was of great value to them.

The situation may have not hurt so hard if she had of been insured. My client did not realise that her normal travel insurance policy does not cover any item over $500 so they can only claim $500.

So ladies, before you travel you need receipts, a valuation and an extra premium to cover your ring. To be super safe, why not hand your ring over to one of your trusted family members who is having an early night when you plan on partying until the early hours.   

I hope I have saved some of your clients the same heart ache.

Firms Stress Value of Agents

In a recently published news article in the Travel Weekly I read that the importance of travel agents has again been stressed by the industry’s major chains after a year of natural disasters and political uprisings. The idea that without a travel agent you’re on your own has been shown to be a valid in the past 12 months. The article goes on to say that Agents needs to be adaptable to new technology and Qantas credited travel agencies with 70% of its overall sales.

I will say that as a Group Travel specialist and Personal Travel Manager there are many other valuable reasons to book with a travel agent and I think that many travellers do not take these factors into consideration when booking online.

Recently one of my client’s husbands called me to advised that his wife’s sister had passed away less than 2 hours before. As my client was in Kuala Lumpur on business and it was the middle of the night there, my client’s husband decided not to disturb her sleep as she would need to be well rested when she was told of the distressing news. While my client was sleeping in Kuala Lumpur I cancelled her current booking, booked her on the next available flight to Melbourne, started the process of the refund of the original ticket and prepared the paperwork for her insurance claim. As she woke in Kuala Lumpur her husband called to advise of the arrangements made, a car was waiting for her in the lobby and she was straight off to the airport to board her flight to be with her family.

I cannot imagine the difference this would have made if she had have booked herself online. She would have most likely had to have called the airline herself (most airlines will only speak to the passenger or the travel agent), she probably would have been on hold for a long time to try to speak to strangers in a foreign country. Not only that she would have also discovered that the airline she had booked with could not accommodate her on a flight home that day, she would have then had to start the whole process of looking for a new ticket, losing valuable time in the process.

When booking Group Travel, School Travel, Educational Travel, Volunteer Travel or Sports Travel it is absolutely vital that the teachers or group organisers use a professional travel planner or travel agent. This will provide the parents with added security that should something unexpected happen to an individual, to their family or to the entire group then there is someone on the ground available to make the necessary arrangements. Teachers have to dedicate themselves to a whole group so they cannot take themselves away to make the phone calls and negotiations with airlines.

There is of course another advantage of using a travel agent to book your group travel arrangements, they can take away the stress of all of the organising phone calls and questions. It’s a tough job just organising an individual with passports, visas, travel documents, travel advice and travel insurance, let alone 25 students!!! So why would you try to organise the entire group yourself when you can hand all of these extra stresses to a travel agent? Once a booking is made you simply hand over the phone number of the agent to the parents and the hassle is taken from you.    

A few months ago a client was planning a wedding in Thailand and she asked for my help. I think she was perhaps reluctant to ask for help because she felt that her wedding party would end up paying more than if they tried to book online themselves, she gave me a go anyway. To her surprise she found that my prices were lower than what the group were able to secure on the internet. I was able to negotiate group buying rates with the resort, I matched internet flight prices and discounted the groups travel insurance by 10%. To the brides surprise all of her guests paid less booking with me than they would have if they had booked online.

I met with the bride last week to pass on her travel documents and she could not thank me enough. She was aware of some of the issues I had to deal with, the questions I was asked, finding suitable insurance policies and the financial issues some of the group encountered. She was so delighted that she did not have to deal with the issues directly which could have impacted on the enjoyment of her wedding party. It’s all in a day’s work for me, I am used to the questions and the issues, she would not have known how to deal with them. She was relieved that the only stress she has to deal with is buying her dress and getting to the airport in time.   

The internet also gives you the impression that you are getting the best deal but it is not sophisticated enough to decide that you are better off buying 2 separate airfares or an air pass for your itinerary. I have had clients come to me in the past and they have questioned my booking because the internet does not give them the same price or itinerary, it’s more expensive online and how can that be!!

So when shopping online are you really getting the best deal?  Are you really getting a great service?

Qantas cancel their direct services between Sydney and San Francisco, Group Travel may be affected

I recently read a news item in the Travel daily about Qantas cancelling their QF73 / QF74 direct services between Sydney and San Francisco, the termination of this service effective 15th May 2011.

Qantas is permitting passengers already ticketed to re-route travel on the direct Sydney to Los Angeles service and then fly on American Airlines operated code share services to San Francisco.  

Passengers can also retain the value of the ticket as credit for 12 months from original date of ticket issue, or request refunds with no cancellation fees charged, when travel is after 15th May 2011. Qantas group travel bookings on the QF73 / QF74 will be contacted and rebooked on alternative flights. 

This will obviously have a huge impact on any group travel or event travel booked to travel on these now cancelled services.  

Qantas are now offering to change to services through Los Angeles. I have travelled through Los Angeles on many occasions and on one of those occasions this was for an international event in Las Vegas for a thousand plus people.   

This was a corporate event for one company and due to security issues, baggage confusion, airlines giving away confirmed seats, changing of terminals and a security scare, many employees were stuck at different airports (San Francisco, Las Vegas and Los Angeles) and were unable to return to work on the day expected, some employees not being able to return until three days after expected.  

This obviously had a huge financial impact on the business in question.  

Having learnt from my experiences of connecting through Los Angeles, I always try to plan my group travel and event travel trying to avoid Los Angeles Airport. 

Should your group travel or event travel be affected by this schedule change then your group travel agent should have notified you already with a solution. I would suggest that if you are locked into a group travel contract with Qantas that you ensure that you give each passenger at least three hours to transit through Los Angeles.   

If you are booked on a Monday, Wednesday, Thursday or Saturday, the days that American Airlines still fly direct services, ask Qantas Group Travel to see if they can change you onto the American Airlines code share direct service. 

If you are not locked into a group travel contract, I would start getting group travel quotes from Continental Airlines, United Airlines (both have direct daily services to San Francisco) and American Airlines (4 days a week). 

I am upset to see the QF73 / QF74 go, I always appreciate a service to the US which avoids LAX for my group travel and event travel. Give me a shout if you require any advice regarding any concerns you may have about group travel or event travel….even if you have booked it through someone else!! I am always happy to give advice.

Why I love to book Group Travel.

What a fablulous location for an event, beautiful culture, adventure, wildlife, beaches...it has it all.

As a Group Travel Specialist for Flight Centre I learnt quickly that I have a passion for working on the technically challenging itineraries and airfares for group travel. The more complicated the more enjoyable. Five hundred people into Queenstown from 8 different Australian cities in one day? No problem, the more challenging the better. I enjoyed the buzz of the initial planning process and problem solving to see what is available, providing detailed costs and itineraries. I enjoy negotiating and providing a competitive quotation with excellent service to my loyal clients. There is nothing I enjoy more than to speak to a group leader on their return from their trip to hear that all passengers arrived at all destinations with no hitches, it makes me very proud.

Considering being a group travel organiser? Being a group travel organiser can often mean that we can factor in your costs so that you travel with your group for free! If you have a group of ten friends, students, colleagues, associates, an event group or even random strangers who have an interest in travelling to the same location…….then let me know, let’s work on the idea and see what we can come up with. With group travel I can often negotiate more flexible airfare conditions, reduced rates at hotels, a discount on Travel Insurance and offer either a reduced airfare or a free spot (taxes to be paid by organiser). So if you have an idea to take your rock and roll friends to a festival in Nevada, a quilting tour of Budapest, your entire school wants to go Uluru or an event with 500 people……..look no further, I am your girl. Planning your group trip at least ten months in advance with give us better availability,  therefore lower airfares.
